A template that fills itself in
The standard template is modelled on the minutes of a GLDF lodge, and the lodge can adapt it. It inserts the date in the Year of True Light, who presided, the brethren present and excused, attendance by degree, brethren passed to the Eternal East, visitors grouped by lodge, each paper with its summary, and the widow's mite.
If the Worshipful Master is prevented, the Secretary names the brother who presides: the minutes say so, and he is the one who signs.
Write, adopt, print
The preview updates live, on the lodge's own letterhead. The minutes move from “to write” to “draft” and then “adopted”: adoption freezes the text, which can be reopened if a correction is needed.
The PDF, with the lodge's emblem and signature blocks for the Secretary and the presiding Master, is produced on demand; until adoption it is marked as a draft. The minutes stay with the officers: they never appear on the brethren's home page.
The Book of Architecture
Each meeting can announce up to three papers: the main one takes its document and a summary, written by hand or suggested by artificial intelligence; the other two carry their title and speaker. Papers presented in lodge, with their document or summary, enter the Book of Architecture, which the brethren browse from their home page: search by title, author or summary, filters by degree, season and author, PDF read on screen.
A paper merely announced in the programme does not appear there: the book only gathers what has been presented and left a trace.
The lodge's documents
General regulations, by-laws, lodge documents, visual identity: four folders hold the officers' documents. Each document is kept for the officers or shared with all the brethren, keeps its earlier versions and a log of its changes.
A deleted document stays thirty days in the bin. When the officers change, the current documents export at once as a ZIP archive, sorted by folder. Files are stored in the European Union.
